RTO Class Management — User Manual

A guide to managing a class's roster, teachers and unit access.

1. Overview & Access

This page is where you manage a single class — its roster of students and teachers, which units it has access to, and its scheduled date and location. You reach it via the Manage Class link on a unit's class management page, or from a class link on RTO Home / Class Management.

Who can see this page? This page is staff-only — RTO administrators and teachers with class management access. Student logins cannot open it.
2. Page Layout

The page name and a link to your User Profile sit in the header, above two side-by-side columns:

Left column — Class Options Five collapsed actions: Add student to class, Add teacher to class, Enrol Class into Unit(s), Delete class, and Set Class Date/Location. Each has its own Show/Hide link.
Right column — Rosters & Units Teachers and Class members tables side by side with the Units accessible by this class card.

Each card — Class Options, Teachers, Class members, and Units accessible by this class — has its own coloured left-edge sliver so the cards are easy to tell apart at a glance.

3. Add Student to Class

Click Show next to Add student to class to reveal a multi-select list of every RTO student not already in this class, sorted by last name. A filter box sits above the list — type any part of a first name, last name or email address and the list narrows to matching students as you type.

  • Hold Ctrl (Cmd on Mac) and click to select several students at once.
  • Click Add student(s) to add every selected student to the class.

4. Add Teacher to Class

Works the same way as Add student to class, but lists RTO teachers not already assigned to the class instead. It has its own filter box (by first name, last name or email) and its own multi-select list.

  • Hold Ctrl (Cmd on Mac) and click to select several teachers at once.
  • Click Add teacher(s) to add every selected teacher to the class.

5. Enrol Class into Unit(s)

Shows a multi-select list of units the class is not yet enrolled into. Hold Ctrl/Cmd to select more than one, then click Add Unit to enrol the class into every unit selected.

6. Delete Class

Permanently removes the class. Clicking Delete class asks you to confirm before the deletion goes ahead.

This cannot be undone. Removing the class does not delete the student or teacher accounts themselves, only their membership in this class.

7. Set Class Date/Location

Sets the class's unit, start date and location. Pick the unit from the dropdown, enter the start date (DD/MM/YYYY — a date picker is provided) and a free-text class location/address, then click Set.

8. Teachers & Class Members

Two tables list everyone currently in the class: Teachers and Class members (students). Each row shows the person's name and email, with a Remove link to take them out of the class. A student's name links through to their Student Home page.

Removing someone from the class does not delete their account — it only ends their membership in this particular class. They can be re-added at any time from Add student to class or Add teacher to class.
9. Units Accessible by This Class

Lists every unit this class currently has access to. Click a unit code to open that unit's class/assessment management page for this class. Use Enrol Class into Unit(s) to add more units to the list.

10. Expanding & Collapsing Cards

Each row under Class Options has its own Show/Hide link so you can open just the action you need and leave the rest collapsed.

Collapsed/expanded state is not saved between visits — the page opens with every option collapsed each time you load it.
11. Troubleshooting
Issue What to check
A student or teacher doesn't appear in the "Add" list They may already be a member of the class — check the Teachers/Class members tables. The list also only includes people belonging to your RTO.
Typing in the filter box shows no results The filter matches against the name/email text shown in the list, so check your spelling; clearing the box shows everyone again.
Can't find a unit to enrol the class into The class may already have access to every currently available unit — check Units Accessible by This Class first.
Removed someone by mistake Re-add them from Add student to class or Add teacher to class — removal only ends their membership in this class, it does not delete their account.
Deleted the wrong class Deletion cannot be undone from this page — contact support to check whether it can be recovered.
